Supervisor, Medical Records, 40 HRs/Week, Day Shift (8Am to 4:30PM), No Weekends, No Holidays
 

1.) "Provides superior customer service to internal and external clients, customers,

and patients as referenced in the Service Excellence Standards."

This position is responsible for the management, distribution, monitoring of work flow, and coordination of assignments for all shifts (day, evening, night and weekends).

Oversee and coordinate the following functions within the Health Information Services Department, specifically in the File Management, Patient Index and Release of Information Sections to include:

 

a) All File Areas

b) MasterPatient Index Services

c) Medical records location tracking system

d) Record delievry


e) Release of Information

f) Audit Compliance

Participate in the planning process for the growth of the Medical Records Department. Identify, research, propose and develop new and innovative methods and applications in the areas of location tracking and retrieval systems, printing and maintenance of medical record documents, storage and archival systems. Improve the secure access to patient records and improve customer satisfaction in order to support the organization with high quality, cost effective value, service and solutions.

Assures Audit staff are aware of and adhere to all hospital, state and federal guidelines required to process audits and responses to third party payor denials

Interview and select candidates for employment. Orient, train, supervise, direct, schedule and assign work, whether directly or through subordinates. Outline scope of authority as well as job responsibilities of employees under supervision. Initiate, recommend, and/or approve personnel actions, including but not limited to hiring, transferring, suspending, discharging, assigning, rewarding, disciplining or adjusting of grievances involving personnel. Prepare and conduct performance evaluations and recommend appropriate merit increases for subordinates.

' Provide support and guidance to direct reports. Provide ongoing and appropriate education to staff and employees. Hold regular meetings with direct reports with associated minutes to foster teamwork and accomplishment of goals and objectives.

' Ability to effectively communicate to groups at various professional levels, i.e. physicians and other care providers, managers and staff in order to accomplish goals and objectives while maintaining good working, professional relationships. Includes demonstrated organization, facilitation and presentation skills.

' Knowledge and skills in using and applying Microsoft Access, Excel, Power point and Project in managing operations and communicating metrics.

' Ability to manage proactively through problem identification and resolution.

' Identify educational needs and implement performance improvement processes.

' Ability to successfully manage and prioritize multiple simultaneous tasks and projects.

' Ability to plan, develop and implement a project plan.

' Ability to work independently, yet earn the reputation of being a team player.

' Ability to plan and manage an operational and capital budget within established guidelines.

' Ability to train physicians and other users on various health information software applications.

Responsible for supervising staff in File Management, Release of Infromation and Master Patient Index: delegate work assignments, continuously evaluate and monitor all employee productivity standards, perform quality control checks in all areas.

VII.       Qualifications:

Minimum Education:

Bachelors degree.

Minimum Experience: 

Bachelors degree.  Three to five years of management experience, preferably RHIA, RHIT or previous experience in Health Information operations.

Minimum skills/abilities:

Ability to effectively communicate with various levels of staff.

Ability to manage multiple simultaneous tasks.
