Job Summary:

The PHP Secretary/Administrative Support Staff is responsible for prompt and efficient performance of a diverse set of assigned duties. Assigned tasks include telephone and messaging responsibilities, acting as liaison with other Health System departments, community agencies, and affiliates; daily patient attendance monitoring, completion of daily charge entry for the PHP programs, maintenance of a PHP database to include monitoring of VBH through the Promise site.

Transcription and typing as needed to include intake assessments, treatment plans and discharge summaries for PHP clinicians, letters and correspondence for both the Medical and Clinical Directors.

This position entails completing patient registration for all PHP patients. Registration includes Intake screening, obtaining insurance and demographic information, registering patients, securing and submission of standard releases, and County funding Liability intakes as needed. The PHP secretary is also the KRONOS monitor and maintains daily time-keeping for PHP as well as maintaining physician hour logs. Other assigned duties include completing all purchase orders and nutrition/meal requests for the department and managing mail both internally and externally driven. The secretary provides administrative assistance to the Clinical Director through assisting in the development of spreadsheets and other media to complete formal reports, performance improvement projects, clinical practice materials, productivity reports, and patient satisfaction survey data collection.

Requirements:

  • High School Diploma or Equivalent
  • Associates Degree in Business or Similar Field (preferred)
  • CPR
  • Microsoft office, typing, and transcription skills, additional computer program skills, i.e. PowerPoint, Excel, Access
  • Experience with billing and insurance to include understanding of charging procedures (preferred)
  • Three years of progressively responsible clerical experience (preferred)
  • Background Clearances (as required by law)
  • Successful completion of post offer physical and drug screen
