Position Summary:

Under the supervision of the Assistant Operations Supervisor the Department Secretary assists in the planning, organizing, and implementing of the receptionist and clerical activities occurring in the Rehabilitation Services Department. Duties include reception services (greeting/directing clients, registration, telephone triage, data entry, monies collection), insurance clearance, conveying inpatient orders, typing and record keeping.

Essential Functions and Duties:

  • Performs wide variety of typing assignments, including reports, forms, correspondence, etc., utilizing hospital provided word-processing software to produce quality documents in a timely manner.
  • Answers routine inquiries and directs other inquiries and requests as appropriate. Routes incoming and outgoing communications as necessary, directing all calls appropriately.
  • Accurately schedules PT/OT appointments, completing intake information in Meditech, mailing information packets as appropriate, confirming evaluation appointments.
  • Obtains M.D. referral on all patients and follows up on patients who come in without a referral.
  • Prepares medical charts for clinicians, including necessary information (i.e.: MD order, insurance referral, medical history), and ensuring that all required documentation is complete.
  • Seeks resolution of patient billing problems, identifying and routing insurance/billing issues to the appropriate source.
  • Accurately registers patients in the computer before they are seen by clinicians.
  • Efficiently reschedules appointments as needed to fill in slots.
  • Accurately enters daily billing
  • Assists in effectively organizing work flow of multiple area projects and tasks, performing assigned tasks as requested.
  • Organizes, maintains, retrieves and disseminates information in accordance with office procedures. Ensures outstanding issues and pending matters are brought to closure.
  • Initiates and maintains scheduling and calendars for one or more individuals.
  • Initiates and practices constructive confrontation, exercising considerable discretion, keeping open channels of communication in dealing with co-workers and supervisors.
  • Sets up, organizes and maintains ongoing systems, (i.e. tickler files, small databases, record-keeping systems), to ensure efficient office operations.
  • Maintains equipment in good working order, orders supplies as appropriate, and keeps work area neat, orderly and safe.
  • Demonstrates ability to organize and achieve quality performance in new routines, procedures, and skills; able to adjust to change.
  • Appropriately handles money transactions/receipts and deposits.
  • Courteously receives clients to Center, ensuring that clinicians are notified as necessary.

Education and Requirements:

  • High School Diploma; Computer knowledge/experience Required

  • Healthcare related experience; Billing and third-party experience preferred
