I. Position Function:

Provides support to all Steward departments located in the Brighton Marine Health Center building in the areas of purchasing, inventory control, facilities support, telecommunications, infectious waste disposal, confidential document shredding. Manages daily warehouse and mailroom operations.

II. Job Relationships:

Reports to Director of Fiscal, USFHP

Supervises Courier

Collaborates with SEHC & CSEMC, Steward Medical Group, Steward & BMHC department managers & outside vendors and sales reps.

III. Authority:

Has authority to coordinate the activities of the General Services Department to

Meet the needs of the Health Center operations.

Has authority to approve requests for the purchase of replenishing warehouse supplies.

Has authority to reorganize the department to meet agree upon objectives.

Has authority to supervise and direct staff in General Services Department to meet demands

of operations.

Has authority to sign all invoices for supplies and services requested by General Services

and submitted to accounts payable for payment.

IV. A. Responsibilities/Essential Functions:

1.) "Provides superior customer service to internal and external clients, customers,

and patients as referenced in the Service Excellence Standards."

2.) Manages the ordering of non-routine supplies for the two Health Centers (Hanscom & Brighton)

3.) From purchase requests submitted by the departments, prepare purchase order requests and

obtain approval from the Fiscal Director.

4.) Educates new staff, as appropriate as to the protocols for ordering supplies, utilizing courier

services and mail services etc.

5.) Supervises the day to day activities of the courier, ensuring that he/she is trained to oversee the

essential department responsibilities when situations dictate.

6.) Responsible for the dispersal of incoming and interoffice mail; post and record all outgoing mail.

7.) Coordinates with outside vendors related to biohazard disposal, shredding services.

8.) Order, receive, store, distribute and collect all laundry supplies for the Health Center.

9.) Coordinates the transport of all deposits from the Health Center to the SEMC cashier.

10.) Receive deliveries, checking for damage, discrepancies; ensure delivery to all products to the

appropriate departments.

11.) Work with the building owners (BMHC, Inc.) to coordinate any moves within the building. Also

ensure that all building policies as to moves, certificates of insurance, deliveries, etc. are

adhered to.

12.) Oversees maintenance of the courier vehicle including cleaning, service checks, sticker

and registration renewal.

13.) Act as a liaison to all Caritas Departments located in BMHC building as it pertains to general

services.

14.) Participates in JCAHO activities as they relate to building service activities (Safety Committee

and biohazard rounds, etc.)

15.) Researches and coordinates the disposal of all outdated supplies and equipment.

B. Responsibilities/Non-Essential Functions:

Other Activities as directed by the Fiscal Director.

V. Reporting Requirements:

Monthly departmental expenditure reports by cost center and supply item category including

shredding, postage and laundry costs is prepared at the close of each month.

Tracking of Fedex & UPS packages

VI. Accountability:

Acountable for the satisfactory performance of all General Services activities performed at

the Health Center; including purchasing, warehouse, mailroom and transportation.

Acountable to supervise the activities of the courier

Acountable for maintaining inventory in a safe, clean environment.

Accountable for the handling of infectious waste disposal according to hospital protocol.

VII. Qualifications:

Minimum Education: BS Degree or equivalent

Minimum Experience: 2+ years’ experience purchasing and/or materials or facility

management

Minimum skills/abilities: Strong Organizational skills
