Job Description
Steward Medical Group at Hawthorn Medical Associates is looking for an enthusiastic, dedicated Manager, EHR Optimization, to support our growing, multi-specialty physician office practices. Internal candidates only, no agencies.
The successful candidate will oversee the Electronic Health Records (EHR) department, including input of advice and assistance associated with product delivery as it pertains to hardware and software setup and system configuration. Provide clinical workflow analysis, advice, and consultation to continuously create an efficient workflow pattern while providing users with application and support. â‹â‹â‹â‹â‹
Principal Duties and Responsibilities
1. Works collaboratively with all users to identify and redesign areas for improvement in the EHR and PM processes and workflow.
2. Provide ongoing development, implementation, and maintenance of the EHR content to meet clinical documentation needs.
3. Monitor workflow and evaluate results to ensure that practice and EHR objectives and operating requirements are met and are in line with the needs and mission of the EHR dept and the overall organization.
4. Plan, develop and provide training and staff development programs.
5. Develop and organize training manuals, multimedia visual aids, and other educational materials.
6. Monitor EHR clinical tasks in the Clinical Inbox and Workflow Dashboard and communicate areas of concern.
7. Assist end users by performing clinical tasks in the Clinical Inbox and Workflow Dashboard.
8. Assist with the education, training and reporting on all Quality Management programs
9. Stay current with changes in CMS regulations and documentation requirements.
10. Attend and participate in leadership meetings when invited.
11. Participate in education/training programs pertinent to the job. Attend staff meetings and in service education programs as requested.
Responsibilities also include
- Evaluation, training, upgrade, support, and maintenance of all Health Information Management applications.
- Provide software/technical expertise and serve as a primary liaison for the practice and EHR users.
- The primary contact person at the practice for troubleshooting questions regarding existing and planned EHR interfaces (e.g., lab, demographic, scheduling, and transcription)
- Perform workflow analysis as well as recommend process changes to enhance departmental productivity. Act as a change agent consideration
- Provide first line support and on the job coaching and mentoring for all users within the practice.
- Facilitate cross-functional teams for the management of an EHR environment with an emphasis on quality, productivity, and consistency by training physicians and practice staff on enhancements of EHR functionality.
- Supervise direct and indirect staff
Qualifications:
Two years of directly related healthcare experience required, with strong project management skills needed.
Associates Degree with EHR experience or HIM certification is strongly preferred. In lieu of degree or certification, two to four years of EHR experience will be considered.
Demonstrated leadership skills and good verbal and written communication skills in addition to PC skills required.
Experience in both practice workflow and clinical workflow is desired. You must have a clear understanding of medical terminology and medical documentation.
Experience working with Athena, Meditech, Epic and/or similar EHR programs is required.

- Ability to present and discuss information in a way that establishes rapport, persuades others and gains understanding
- Manage multiple small to large projects in a multi-specialty environment
- Problem solver; able to troubleshoot user needs and interface workflow issues
- Remain flexible in all shift coverage and overtime situations, as they become necessary
- Must be aware of safety standards as stated by OSHA and understand all patient privacy issues as mandated by HIPAA.
