Job Summary: The Medical Records Clerk is responsible for maintaining and organizing patient medical records in a healthcare facility. This includes ensuring accuracy, completeness, and confidentiality of all medical records. The Medical Records Clerk will also be responsible for retrieving and releasing medical records as needed, as well as completing Birth Certificates at the facility.

Responsibilities:

  • Organize and maintain patient medical records in accordance with facility policies and procedures.
  • Prepare paper documents for scanning and indexing into the electronic medical record.
  • Ensure accuracy and completeness of all medical records.
  • Protect the confidentiality of patient medical records in accordance with HIPAA guidelines.
  • Retrieve and release medical records as needed.
  • Assist healthcare providers with accessing patient medical records.
  • Ensure compliance with all state and federal regulations related to medical records.
  • Assist with audits and quality assurance activities related to medical records.
  • Complete any certification program and continuing education that may be required by state law to accurately perform duties relating to the Birth Certificate process.
  • Interact with the parents to collect and document the birth information, delivering the appropriate forms to them and providing guidance in the completion of the forms.
  • Work with the parents to complete the Acknowledgment of Paternity form, which can require patience, diplomacy, and sensitivity.

Physical Demands: The Medical Records Clerk may be required to sit or stand for extended periods of time and may need to lift and move boxes of medical records.

Education & Experience

  • High school diploma or equivalent required.
  • Previous experience working with medical records strongly preferred.
  • Strong attention to detail and organizational skills.
  • Excellent communication and interpersonal skills.
  • Ability to maintain confidentiality of patient information required.
  • Proficient in computer skills and electronic medical record systems.
  • Salary range: $9.03-12.26/hour
