POSITION SUMMARY:

The Office Coordinator will provide a number of administrative functions necessary to daily operations. S/he will function as the navigator for the CWC, supporting all 4 sites. Additionally, the Office Coordinator will act as a back-up for positions within the Center for Weight Control within s/he scope his/her training; including clinic support as an MA. Flexibility to travel to sites as necessary for administrative and clinic support, as well as surgical scheduling support as needed. The Office Coordinator under the direction of the Program Manager will support activities pertinent to accurate collection of patient insurance and demographic information. He/she will support the billing and revenue cycle. This included tracking and creation of referrals for all visits. S/he will be responsible for contacting patients by telephone to collect missing pertinent data and will communicate with referring physicians and/or practices to obtain prior approval for services. S/he will also review and respond to denied claims and work toward denial recovery. As needed the Office Coordinator will provide clerical and receptionist functions for the Center for Weight Control. S/he will execute all secretarial activities related to the function of the Center for Weight Control including answering telephones, appointment scheduling, patient data collection and dissemination, problem solving, The Office Coordinator will also participate in training new staff to the Center for Weight Control, and work on special projects to be assigned on an as needed basis.. The Office Coordinator will be expected to address non-clinical questions related to surgery and/ or program.

KEY RESPONSIBILITIES:

        • The Office Coordinator is responsible for daily insurance verification and referral data and the distinguishing the correct insurance for each plan up to and including referral and preauthorizations
        • Work directly with patient and specialty providers within Steward to ensure that all appointments are kept in the network and scheduled within the appropriate timeframe
        • Track outcomes of referrals and provide reporting to Steward Leadership
  • Review and respond to all insurance rejection and/or claim denial reports for SEMC and professional billing agencies. All documentation is to be retained and filed for continual monitoring and following up.
  • Maintains Referrals for Center for Weight Control. Coordinates meetings as requested, ie, with vendors.
  • Performs all other related or similar duties as required by the Operations Manager.
  • Provides for the following front-end operation for the Center for Weight Control as needed
  • Records management including:
  • Creates and maintains the patient’s chart
  • Coordinates with Medical Records on the proper storage of original documentation. Obtains original medical record prior to CWC patient visits and return of medical record in a timely fashion.
  • Files appropriate patient information in a timely manner in the patient’s chart
  • Performs daily chart audit and prepares the billing batches to be billed by hospital and physician billing groups
  • Scheduling including:
  • Coordinates and schedules Center for Weight Control
  • Coordinates with primary care physician for other tests, outside referrals, etc.
  • Ensures routine maintenance, housekeeping and linen services as needed for Center for Weight Control
  • Schedule vendor and manufacturing representative visits.
  • Typing/transcription/data entry/facsimile/document/mail distribution letters as directed
  • Assembly of informational packets and other document collection
  • Faxing and distribution of faxes and mail as needed
  • Provides front end coverage and MA support for CWC as needed
  • Provides coordination of supplies and documents including:
  • Office supplies, forms as requested
  • Room patient as needed when back up

EDUCATION/EXPERIENCE/LICENSURE/TECHNICAL/OTHER:

  1. Education: Associates Degree preferred
  2. Experience (Type & Length): Experience in a Surgical Bariatric Setting required, minimum one year preferred
