Job Description
Steward Medical Group at Hawthorn Medical Associates is looking for an enthusiastic Office Coordinator for our busy OB/GYN Department.
General Summary/Overview:
Responsible for providing quality and efficient patient service to patients through the daily coordination of staff scheduling in the Internal Medicine, Family Medicine, and related departments. Overseas assignments to maximize scheduling and real time utilization of resources. Additionally, incumbent is responsible for assisting manager and supervisors with staff, training, scheduling, timekeeping and coverage for sick calls, vacations, etc. Responsible for carrying out responsibilities in accordance with the organization’s policies and applicable laws.
Principal Duties and Responsibilities:
- Provide daily communication to employees so that external customers (i.e., patients, vendors, visitors) are treated in a timely, efficient, and effective manner. Provide continual evaluation of processes and procedures. Responsible for suggesting methods to improve facility operations, efficiency, and service to both internal (all other staff) and external customers.
- Interface with practice manager and supervisor to ensure smooth coordination of scheduling and maximization of schedule adherence; provide input on local conditions, identify needs, and receives direction on real-time staffing increases or decreases. Approve schedules and work with other managers to communicate and fill schedules and handle exceptions.
- Trains new Patient Service Specialists and provides ongoing instruction, information and training on procedures, process, and work policies.
- Provide performance coaching and feedback to Practice Manager and supervisors on new employee progress.
- Be available for employees that experience work problems providing appropriate coaching, direction, and resolution.
- Perform all timekeeping functions in Kronos.
- Project a favorable image of the company to promote its aims and objectives and enhance public recognition and acceptance of all its areas of endeavor.
- Perform all duties and responsibilities in a timely and effective manner in accordance with established company policies to achieve the overall objectives of this position.
- Perform other duties and responsibilities as required or requested.
Qualifications:
High School or equivalent required and at least 3 – 5 years previous relevant experience.
Advanced training and/or relevant coursework is preferred. Prior administrative and clinical work experience as a medical assistant/medical secretary strongly preferred. Experience in a customer focused organization. Experience training, coaching, and developing staff.
Skills and Abilities Required:
Advanced interpersonal and communication skills; high level administrative/clinical and organizational skills; self-motivated / directed; analytical and problem-solving skills; ability to exercise independent judgment based upon established policies, protocol, or practices; solid, working knowledge of medical clinic operations to effectively plan and manage day-to-day operations of moderately large scope; ability to provide and support a vision and direction.
