I. Position Function:

Handles the day to day volumes of the Mail Center

Determines the correct postage on all mailings and insures deadlines/schedules are met.

Insures the sorting and distribution of US Mail and in-house mail.

Also insures the efficient processing of all out-going hospital mail, including Priority, Certified, and International.

II. Job Relationships:

Supervises the following staff by job category:

- N/A

Collaborates with the following staff by job category:

- Senior Mail Center Assistant

- Copy Operator/Senior -Mail Assistant

Serves in a consultative role to the following:

- Nursing Staff

- Administration

- Fiscal

- Medical Staff

- Support Services

- Others requiring assistance in the Mail Center

Supervised and/or reportable to :

- Hospitality Operations Manager

- Director of E.S.D.

IV. A. Responsibilities/Essential Functions:

1.) "Provides superior customer service to internal and external clients, customers,

and patients as referenced in the Service Excellence Standards."

Insures that records in the Mail Center are kept up-to-date.

Prepares documentation necessary for the Hospitality Operations Manager to recover expenses into the Mail Cost Center.

Insures that the sorting order as directed is maintained: Distribution "H", Interoffice, 1st Class US Postal, and bulk

Provides notification to departments of incoming priority/express mail.

Accepts, sorts and distributes all interoffice and US Postal Mail to the patient care units and the Administrative offices.

Prepares and meters all outgoing mail, including presort, 1st Class, International, etc.

Prepares mail for pickup by presort vendor and US Postal Service.

Provides documentation of mail volumes passing through the Center.

Makes recommendations on improvements within the Center.

Maintain the labeling system for the sorting bins as set within department policy.

Insure the postage meter has adequate funds.

Attends in-service training programs and educational seminars to promote career development and to remain abreast of current Mail Center issues.

Maintain a safe and clean working environment.

V. Reporting Requirements:

Reports monthly to the Hospitality Operations Manager in writing, all documentation necessary for the Mail Center/Printshop charge-back program.

Reports weekly, in verbal form to the Hospitality Operations Manager on any Mail Center issues or concerns.

VI. Accountability:

Shall be accountable for maintaining confidentiality and security of all hospital, medical staff, and patient related data and information.

Shall be accountable for abiding by all relevant hospital policies and procedures.

VII. Qualifications:

Minimum Education:

High School Diploma

Minimum Experience:

2-3 years in a Mail Center environment

Minimum skills/abilities:

Must be able to read and write English

Required to deal with people in a helpful, courteous manner.

Must be able to make accurate, efficient decisions

Certification/Licensure:

N/A

Training:

Patient Confidentiality

Infection Control/Bloodborne Pathogens

Fire Safety Education/Annual Safety Training

Training classes must be attended as mandated by the Hospitality Operations Manager or E.S.D. Director.
